Job Posting: Administrative Coordinator

The Downtown Truro Partnership is currently seeking an Administrative Coordinator who will be responsible for a variety of supportive functions in our office. This is a part time position; 20-30 hours per week.

We are looking for someone with passion and drive, who can ensure that our standard of excellence is maintained both in the office and through our online presence. This position requires a person who is self-motivated, has excellent interpersonal and organizational skills, enjoys working in a fast paced, collaborative environment, and has a sincere interest in making Downtown Truro a more vibrant place to live, work and visit.

Under the direct supervision of the Executive Director, the Administrative Coordinator provides support by managing various internally-based projects, assists with outreach and co-ordination of externally-based events, and provides administrative support with the day-to-day office operations. In addition, the successful candidate must be available to work evenings and weekends on occasion for special meetings and events.

RESPONSIBILITIES/ACCOUNTABILITY:

  • Provide confidential administrative support, as directed by the ED, such as website management, typing (minutes, letters, memo etc.), file maintenance, maintain computerized and hard copies of the Downtown’s policies and public information, assist with data analysis and compilation, and maintain order and organization to the office operations;
  • Assist with the coordination of structured internal and external events;
  • Respond and manage general inquiries in a courteous manner, and provide high quality customer service; including but not limited to the processing and monitoring of payments, answering and/or redirecting incoming telephone calls and/or recording messages and managing social media inquires;
  • Provide administrative support such as, filing, photocopying; editing, typing correspondence; creating presentations; data entry, using Microsoft Office Suite;
  • Light bookkeeping duties, including data entry and mailing bills, contracts, policies, invoices, and checks
  • Prepare bank deposits and cash reports, and replenish cash floats as required;
  • Maintain promotional items; distribute information on events and/or programs;
  • Other assigned administrative functions as may be required

PROFESSIONAL SKILLS

  • Completed Grade 12 or equivalent and post-secondary education;
  • Experience in office administration including office reception, an asset;
  • Proficient computer skills specifically with Microsoft Office Suite;
  • Experience in marketing and social media management, an asset;
  • Experience in cash handling, balancing, basic accounting knowledge an asset;
  • Demonstrated organizational and administrative abilities
